Paper Scanning Tip from the Production Department
Production Scanning Tip: Label each box of your paper records. Each box should have your company or municipality name written on it somewhere. This combined with our own procedures assures that your box of records will not be confused with identical looking boxes from other companies & municipalities. Numbering each box is also a very good idea. That way you & the service bureau can have a number with which to reference to when discussing the records you've sent in for scanning or filming. Also, if you wish for your records to be imaged in a particular order, it helps the service bureau to discern that order. In addition, it is a good idea to label each box with its contents. That is - what records series does the box contain? Does it contain a particular date range or alphabetical range? This is especially important if you may need the production department to retrieve a record from your boxes while they are in the process of being imaged. The labeling ensures that the service bureau will be able to easily determine where to look to find the record you need.
